Roles & Responsibilities

Airport Meet & Greet (Sunday / Monday only)
  • Outgoing, confident, reliable – will need to be alert and aware of the incoming flights and meet all Delegates in Arrivals and direct/take to the waiting transfers (most likely directing Delegates to the underground and/or buses)
  • Ensure that the transfers are in place and have direct contact with the drivers – mobile numbers – Logistic Team Leader
  • Ensure that the Transfer Hosts are in position and can assist with directing to the waiting transfers – coaches, cars
Logistic Hosts (bonus)
  • Outgoing, confident, reliable – to ensure that the correct Delegates are on the correct transport to the correct hotels, venues, locations throughout the event
  • Ensure that the transfers are in position at the correct timings, dates
  • Some experience as ‘Tour Guides’ would be a bonus
  • Flexibility to be at all sites- core and evening
VIP Hosts (Logistics, hotel, onsite, green room) (2 at green room)
  • Meet and Greet VIPs at airport, VIP hotel, various venues ensure the car is ready and escort VIP to waiting transfer
  • Work closely with the Logistics Manager / VIP Managers
  • Ensure all the driver details are on hand to contact if and when cars are needed
  • Assist with check-in and troubleshooting
  • Diplomatic, hardworking, enthusiastic, confident, eloquent, patient
  • Good interactive skills, initiative – be confident to introduce Delegates to Counsellors for interview/chats in the Green Room (Lists and Agenda will be given to them)
  • Information Point – a good knowledge of the event and the Agenda required
  • Good common sense to work in the Green room for organising catering and managing Counsellors during and after their sessions on stage
Hotel Hosts (bonus)
  • Outgoing, enthusiastic, hardworking, be able to work alone and use own initiative
  • Will need to assist with the check in process, ensure that the Delegate knows location of the room and have everything they need
  • To attend the welcome desk in the hotel and be a point of contact throughout the event
  • Have a good knowledge of the event and the Agenda – information point for the Delegates
  • Direct contact with the transfer company – drivers to ensure that the transfers are in position according to the Logistics Plan (most likely car will only be used for accessibility requirements)
  • Director contact with the the Logistics Team Leader / Logistics Manager and ensure Delegates leave on time to walk to the venues

Ensure a good rapport with the hotel reception staff to ensure that all is ok with the rooming allocation, may have to instigate room drops

Accessibility Buddy (5)
  • Outgoing, confident, reliable –need to be able to create a strong relationship with accessibility Delegate
  • Prior training in diversity/disability language preferable but not mandatory
  • Will be introduced to Delegate in advance of the Summit via email to establish relationship/requirements early on
  • Familiarity with venues/city required
  • Will assist Delegate at each Summit venue and to/from hotel where required
  • No sanitary assistance or entrance to Delegate hotel room allowed
  • Good timekeeping and flexibility
Opening Ceremony Flag Team (10)
  • Good knowledge of the World Countries Flags (x196) – confident, outgoing – to be in control of the flags for Opening Ceremony
  • Must ensure that all flags are returned and accounted for during and after the event
  • Assist with the flag rehearsal
  • Assist with directing flag bearers during the ceremony. Might need to step in for missing Delegates to wave country flag
  • Will need to assist with transporting flags to various locations during the event
Closing Ceremony (8)
  • Will need to assist with the ribbon ceremony/pledge ceremony- distribution and programme
  • Good timekeeping and crowd management
  • Signage and directions in and out of venue
  • Guidance and FAQs for after party
Venue Hosts Meet & Greet Directional Information Desks Registration (6)
  • Outgoing and confident, Information Point – good knowledge of event and the Agenda required
  • Must know all information with regards to event, locations, agenda – venues (Key role)
  • Good understanding of the English Language, also advantage if speaks other languages – Spanish, French, Italian, Mandarin, German, Arabic – will need to work quickly on registering the Delegates, small IT knowledge
  • Small IT knowledge – outgoing, confident – be confident to seat the Delegates
  • Will need to work on the Q&A (Question and Answer) on the Interactive stages – be confident to give the microphone to the Delegate and take it back when the question has been asked
  • Translator Distribution at the doors for each session
  • Needs to be confident and assertive to assist with the seating of the Delegates
  • Conscientious, outgoing, be able to work alone and use own initiative

Outgoing, personable character to engage with the Delegates to bring them onto the stand/booths

Keynote Seating Workshop Hosts (3-6)
  • Outgoing and confident, Information Point – good knowledge of event and the Agenda required
  • Must know all information with regards to event, locations, agenda – venues (Key role)
  • Good understanding of the English Language, also advantage if speaks other languages – Spanish, French, Italian, Mandarin, German, Arabic – will need to work quickly on registering the Delegates, small IT knowledge
  • Small IT knowledge – outgoing, confident – be confident to seat the Delegates
  • Will need to work on the Q&A (Question and Answer) on the Interactive stages – be confident to give the microphone to the Delegate and take it back when the question has been asked
  • Translator Distribution at the doors for each session
  • Needs to be confident and assertive to assist with the seating of the Delegates
  • Conscientious, outgoing, be able to work alone and use own initiative

Delegate Speaker Hosts
  • Moving the Delegate speakers to and from the Delegate speaker room- Delegate speaker ready room, the main stage and Interactive Stage s
  • Helping prep counsellors and Delegates for their pre-stage meeting
  • Locating Delegates, ensuring they are in the Delegate speaker room for their scheduled sessions
  • Staying in the Delegate speaker room if OYW crew are not available
  • Must have excellent organisation skills, good time management and good communication skills
Booth interview assistant (1)
  • Booth interview assistants have the responsibility to roam around the exhibition area where all the Delegates “hang out” and recruit Delegates for interviews by the Digital Comms team
  • Must be fluent in English
  • Must have excellent people skills; be warm, confident, engaging and willing to approach strangers
Video Editor (1)
  • The role of the video editor is to assist our video team with editing on-site as well as file the large quantities of footage being captured throughout each day.
  • Will need to have the ability to work in a fast-paced environment
  • Will need to have own laptop and access to Premier Pro editing software.
Live Transcriber (2)
  • The live transcribers will be in charge of live transcribing stage sessions as they are happening to get great quality excerpts for Tweets.
  • Fluency in English and excellent writing skills are essential.
  • The ability to write quickly and accurately in a high-pressure environment is essential.
  • Previous journalism or copywriting experience is a plus.
  • Must have own laptop.
iPhone photographer for Live Tweeting (2)
  • The role of photographers is to take images and videos of the speakers in the auditorium and send them to the communications manager for use on Twitter.
  • This role requires patience and the ability to be very responsive and reactive. The auditorium content is fascinating, but the days are long.
  • Each photographer will have a different angle in the auditorium room for variation, and the communications manager will instruct them.
  • An iPhone 11 or above (or equivalent Android) is essential.
TikTok video creator (2)
  • We’re looking for volunteers to create TikToks for us on-site.
  • Proven social media/video experience with a particular focus on creating TikTok/short-form video content is essential.
  • Will need to have the ability to work in a fast-paced environment
  • Must have excellent people skills; be warm, confident, engaging and willing to approach strangers.
Digital Communications Team runner (2)
  • The role of a team runner will vary depending on what we need when on each day.
  • This might be assisting at the booth if someone is ill, helping escort people to interviews if needed, or assisting with managing the enormous volume of social media commentary that comes through on our social channels.
  • Must have excellent organisation skills, good time management and good communication skills.
